Microsoft 365 Tips for South African Businesses

Practical Microsoft 365 tips for productivity, security, and administration — multi-factor authentication, Teams, Exchange Online, and licensing for South African organisations.

Microsoft 365 is the backbone of modern business communication for thousands of South African organisations. Getting the most from it means balancing productivity, security, and cost — especially when teams work across offices, home, and client sites.

Enable multi-factor authentication (MFA) for every user

Passwords alone are not enough. Enforce MFA through Microsoft Entra ID (formerly Azure AD) for all users, starting with administrators. Conditional Access policies can require MFA only on risky sign-ins, but most SMEs benefit from MFA on every login.

Authenticator apps are preferred over SMS in South Africa, where SIM-swap fraud is a real risk. Microsoft Authenticator is free and works well on mobile data when Wi-Fi is unavailable.

Use shared mailboxes and groups correctly

  • Shared mailboxes (e.g. info@, support@) do not need a paid licence if they stay under 50 GB and have no direct login.
  • Microsoft 365 Groups and Distribution Lists serve different purposes — use Groups when you need a shared calendar and SharePoint workspace.
  • Convert legacy on-premises distribution lists during migration rather than carrying duplicates into Exchange Online.

Teams governance and meeting hygiene

Create a naming convention for Teams and channels (e.g. Department — Project) so users can find workspaces quickly. Archive inactive teams instead of deleting them — retention may be required for compliance.

Default meeting policies should limit who can present and record. For external client meetings, use lobby settings and never share org-wide meeting links publicly.

Licensing and cost control

  • Review licence assignments quarterly. Remove licences from departed staff within 24 hours.
  • Business Standard includes desktop Office apps; Business Basic does not — assign licences based on actual need, not habit.
  • Use Microsoft 365 admin centre reports to spot unused OneDrive and mailbox storage before buying more capacity.
